About this role:

Under the supervision of a Japan based Team Lead, with mentoring from local, and global peers Specialists and Coordinators, you will provide administrative support to assigned stakeholders to maintain their efficiency and effectiveness. The applicant will be responsible for ensuring consistency and accuracy of travel and expense processing in accordance with corporate policies, internal controls, and guidelines. The applicant is expected to be proactive, independent, and work well in teams across different time zones. The employee will develop a broad base of marketable skills including, but not limited to, client and senior executive communications, time management and ability to multi-task. The work environment is fast-paced and blends the combination of collaborative interactions and independent work, must be results-driven.

What you’ll do:

Expense Management:

  • Primary point of contact for expense management for several internal stakeholders.

  • Proactive monitoring of Concur for expense submissions ensuring all expense deadlines are met.

  • Processing expenses in a timely manner following corporate card expense guidelines.

  • Collaborate with cross functional teams to resolve expenses issues.

Travel Management:

  • Assisting with travel bookings for several internal stakeholders.

  • Work closely with relevant team members to understand and anticipate travel needs and preferences.

  • Responding quickly and proactively to requests.

  • Ensuring accurate and timely processing of travel requirements making sure we are compliant with all corporate policies and following best practices.

  • Assisting with visa processing.

Other Responsibilities:

  • Managing centralized mailbox for T&E activities.

  • Actively participates in meetings with team members and the T&E CoE Lead - working together to resolve issues, share best practices, etc.

  • Collaborates with peers to ensure a united, consistent, and professional approach to supporting all stakeholders.

  • Continually reviews and evaluates our T&E processes & best practices, recommending actions to streamline and improve operational efficiencies if appropriate.

  • Assists with T&E training with new hires as required.

  • Provides back-up cover for team members at the direction of the Team Lead.

  • Monthly metrics/reporting as directed by the T&E CoE Lead or Team Lead

  • Assist or lead T&E projects when required.

  • Ad-hoc project support and other special assignments as the need of the business requires.

What you’ll need:

  • Bachelor’s degree preferred.

  • 0 - 2 years’ experience working in a fast-paced professional environment.

  • Proficiency in Microsoft Applications Suite.

  • Experience managing multiple priority tasks concurrently.
