Venue Strategy & Selection Manager, Global Conferences


Role Purpose

Responsible for the venue selection and contract business terms negotiation of a global conference portfolio. Includes collaboration with Conference Operations team to determine conference requirements, securing optimal space to maximize conference success with multi-year scope, build and continually maintain strong relationships with venues, and negotiate agreements that deliver best in class value and cost savings to the organization. Own and execute on multiple, simultaneous projects.

Primary Responsibilities

  • Lead venue RFPs for a portfolio of large conferences ranging from 1,000-15,000 attendees featuring exhibitions and multi- track content delivery models, understanding the needs of the audience and identifying solutions to complex space requirements in order to source suitable venue options that support our strategy.

  • Collaborate with delivery operations teams to identify key priorities for each conference’s success and develop best all-in strategy to meet each of those priorities within the dates and space available at the venue being considered.

  • Management and selection of best venues: provide strategic analysis to assist with decision making which layers multiple stakeholder priorities. Deliver overall strategy presentation to various leadership stakeholders to gather contract buy-in on venue recommendations.

  • Lead contracting process including the negotiation of pricing and business terms specifically for space requirements, access times and room block build, balancing and minimizing the risk to the company and delivering cost savings.

  • Leverage companywide buying power to ensure company is receiving the best options at the most affordable costs.

  • Extensive knowledge of room block builds, hotel operations and ability to support rooms-only agreements when needed for city-wide planning strategy both in North America and global markets.

  • Develop strong relationships with hotel contacts to ensure quality standard at meetings is maintained, company expectations are met, and lines of communication are open to share feedback and build partnerships. Strive for continuous improvement through ongoing contract and venue management - Continually re-evaluate agreements post contracting and collaborate with onsite planners to capture venue feedback. Follow up to ensure practices are adjusted accordingly where necessary and execute amendments when needed to facilitate operational success.

  • Exceptional project management including ownership and adherence of timelines and templates and accurately track and evaluate results on overall project goals.

  • Self-driven project work with heavy focus on data interpretation and delivery of analysis and interpretation to leadership level audience to support confident decision making.

  • Smartsheet database maintenance to ensure organized contract management and easy reporting capabilities.

  • Communicate and collaborate with all parties to inspire confidence and ensure all needs are met.

  • Participation in industry networking events to maintain key relationships and best position and advance the Gartner brand.

  • Continuously inform leadership on new and/or expanding venue opportunities, renovations and industry updates.

  • 25% travel to conferences required per year.

  • Bachelor’s degree required

Professional Experience Required

  • 5+ years event management experience incl. end-to-end event management

  • Hotel Group sales experience preferred in large group property with contract negotiation and revenue management insight.

  • Extensive venue sourcing experience with contract negotiation and budget management experience

  • Extensive hotel and convention center knowledge for North America market and global regional differences

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 68,400 USD - 107,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
