About the Role:  

The Executive Concierge will support the creation of world class events by creating and delivering a seamless registration, Peer-to-Peer and customer experience to all clients. The candidate will be responsible for flawlessly delivering and executing on assigned virtual and in-person program responsibilities by managing all details related to registration, Peer-to-Peer and customer experiences.  


Primary Responsibilities:

  • Be an integral part of the Evanta Center of Excellence responsible for creating a registration, Peer-to-Peer and customer experience which is thoughtful and consistent.

  • Be part of a cross-functional team that is responsible for creating registration journeys that are deliberate, personalized, and engaging.

  • Drive continuous elevation, improvement, and innovation of the registration experiences (delegate, sponsors, and associates).

  • Provide input for attendee communications and MyEvanta.com, as well as onsite branding, build and journey related to the registration experience.

  • Travel onsite to Evanta events and lead as Executive Concierge (approx. travel 25% - 30%)

  • Communication and collaboration across Evanta business to ensure seamless delivery of first-class virtual peer round tables, town halls and in-person conferences.

  • Actively participate in the process of reviewing, enhancing, and executing event features and programs (virtually and in person), analyzing attendee feedback to ensure we are delivering exceptional, relevant experiences as it relates to Executive Concierge, ensuring alignment with the company objectives and vision.

  • Frequent review and management of team process documents and internal communication tools for both live and virtual events, including best practices for registration, Peer-to-Peer and customer experience.

  • Ownership and/or participation of projects and processes that will streamline the way we deliver our events, aligned to our objectives. 

  • Lead in onsite role requirements for all meetings, ensuring the teams have all required registration, Peer-to-Peer and additional customer experience materials.

  • Support  vendor relationships as it relates to order fulfillment, inventory, purchases and payment and budgets (including forecasting).

  • When required, partner with the Community Program manager in customer tracking to minimize event attrition.

  • Schedule Peer-to-Peer meetings and communicate with CPMs accordingly.

  • Answer support requests submitted through MyEvanta App.

  • Provide functional expertise to assess potential operational impacts on all departments.

  • Drive internal engagement through effective communication and training.

  • Support training presentations for registration, Peer-to-Peer and MyEvanta related topics such as session scanning, Phoenix badge printing, Peer-to-Peer and support requests.

Secondary Responsibilities:

  • Support Gartner Destinations Conferences as needed (5% travel)

  • Effective relationships with other business units to inspired confidence in global teams and all of Gartner

  • Attendee and sponsor retention

Requirements:

  • Minimum of 3 years of relevant experience within a corporate (or related) business environment

  • Bachelor’s degree with focus on events and/or marketing preferred, but not required

  • Ability to manage multiple tasks simultaneously and prioritize workload

  • Corporate and event management experience highly preferred

  • Multi-tasking, maintain composure and ability to manage multiple deadlines in a fast-paced environment

  • Strategic and client focused with great customer service skills and strong executive presence

  • Proficiency in the MS Office suite including Outlook, Word, Excel, and Power Point

  • Experience of database management, to include the production of reports out of database

  • Highly organized and high attention to detail

  • Strong written and verbal communication skills

  • Proven success working in a collaborative environment

  • Self-motivated and self-sufficient within a virtual first environment

  • Ability to build and maintain relationships with a high degree of professionalism

  • Ability to innovate and come up with new ideas, that will help us to continually improve our events

  • Ability to work as part of a team, but also work on events individually

  • Willingness to travel regionally and internationally

  • Understanding and appreciation of technology

  • Someone who can run with a brief and bring ideas back to the table

  • Project management experience

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 43,200 USD - 67,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
