External Speaker Management: Sr. Conference Planner

About this role:

The Senior Conference Planner for Speaker Sourcing and Management is a critical role which supports the onboarding and logistical coordination for our invited guest keynotes and case study speakers at Gartner Conferences. This role is integral to the operational efficiency and effectiveness of the Gartner Speaker and Sourcing Management team. This role will report into the Sr. Manager, Speaker Management who will oversee speaker sourcing strategy.

What you'll do:

  • Process invoices and assist in vendor management

  • Partner with our compliance team to ensure all speaker documentation is complete in advance of speaker promotion

  • Assist the External Speaker Management team in the collection and review of speaker promotional materials

  • Systems, database, and spreadsheet management 

  • Own the coordination and pre-conference preparation for all speakers including facilitating pre-event calls and confirming speaker itineraries

What you'll need:

  • Bachelor’s degree preferred

  • 2-3 years professional work experience

  • High sense of urgency and ability to prioritize

  • Exceptional attention to detail

  • Proactive problem-solving skills

  • Proven ability to master new systems and tools

  • Outstanding written and verbal communications skills
