About this role:

This role provides administrative, project and calendar support for senior leaders in Talent Acquisition (TA) and People Analytics & Operations (PAO).

What you’ll do:

  • Perform diversified administrative tasks and special assignments in support of core stakeholders, while exercising a high degree of discretion, confidentiality, and initiative. 

  • Schedule internal and external meetings and conference calls/Webex meetings for core stakeholders, and other senior HR leaders as needed.

  • Proactively manage conflicts and urgent requests for the core stakeholders by problem solving and presenting various options. 

  • Manage complex meeting agendas that require multiple attendees over multiple days, including all set-ups, catering, technology and any necessary external arrangements. Take meeting minutes as requested, including distribution and follow-up of action items.

  • Coordinate detailed domestic and international travel arrangements and itineraries for core stakeholders and senior HR leaders as needed, and reconcile expenses through T&E systems.

  • Assist in preparation for large team meetings including town halls. Proofread for spelling, grammar and format and edit as appropriate. Responsible for accuracy and clarity of final copy. Handle incoming calls/requests for information. 

  • Establish a weekly cadence and agenda with core stakeholders to review, revise and prioritize key initiatives and upcoming travel and meetings.

  • Assist with planning and scheduling annual HR processes. 

  • Collaborate and support special projects as direct by manager.

  • Maintain supplies inventory and order as necessary with proper approvals.

What you’ll need:

  • 3+ years business experience supporting senior executives, preferably in HR.

  • Must be highly organized, with strong time management skills and an ability to handle tight deadlines and adapt to changing priorities and deadlines.

  • Capacity to work on multiple projects at once and ability to prioritize, complete multiple assignments and monitor workflow required.

  • Strong written and verbal communication skills required. 

  • Strong planning, organizational and analytical skills including attention to detail.

  • Expert skill level in Microsoft Word, Excel, Outlook, and PowerPoint required.

  • Experience working with confidential material in a discreet and professional manner required.
