About the role:

Gartner Conferences delivers world-class conferences across the globe, attracting tens of thousands of attendees and exhibitors each year. The Conferences team is focused on shaping the future of the technology platforms that are essential for the delivery of our critical programs and efforts. 

Your mission:

To support the Global Destination Conferences team in the delivery of the remote content of Gartner’s must-attend global conference portfolio, for both virtual and in-person programs. Responsible for the development, management and execution of various conference elements relating to logistics and production.

What you will do: 

  • Oversee operational delivery of all live remote viewing for Gartner Destination Conferences (Online Access) elements across complex in-person and virtual conferences including project management, financial management (forecasting, expense management and reconciliation), staff planning, production scheduling, product enhancement and future planning.
  • Lead key conference partners and team members (internal and external) to ensure successful conference execution; build and maintain good relationships by establishing trust and a working partnership. Internal partners include but are not limited to Gartner IT, Content, Logistics, and Business Solutions.
  • Create in partnership with Gartner IT and Business Solutions an on-site playbook to train onsite staff to execute successfully.  Further build the crisis management and contingency tools.
  • Effective project management including development of and leading the team to adhere to timelines and templates.
  • Assist with conference budgets with direct responsibility for all costs associated with online access delivery; produce accurate monthly forecasts and manage expenses effectively.
  • Lead on cost negotiations, proposals, contracting and terms and conditions for suppliers including, but not limited to global agency partners and contractor support roles.
  • Attend priority conferences as the onsite lead for in-person delivery (approximately 5-7 per year)
  • Remotely manage additional conference processes by managing external contractors, production schedule, conference staff and agency partners and vendors.
  • Constantly evaluate the experience, feedback and results then implement changes accordingly. Create detailed post-event analysis reports and event de-briefs for review with manager/operations leads.
  • Growing and enhancing the product.  Identifying best-in-breed and benchmarking across the global event industry.
  • As a member of the global conference operations team – build effective relationships with peers in all regions, take and share best practices and continuously raise the level of our event!

What you will need: 

  • 5+ Years Event Management experience, preference for AV/Production experience
  • Proven event operational skills including production schedules, budget management and event staffing
  • Project management experience on detailed programs with multiple variables and dependencies
  • Proven experience in managing agency and vendor partners
  • Proven people management experience
  • Willingness to travel globally - attend Gartner Conferences to lead operational requirements
