Manager, Conference Housing

Role Purpose

Deliver world class service to all attendees through the conference hotel booking experience.  Ensure first class execution, forward thinking and product development are applied constantly by the team and partners to aid client retention and business growth while still delivering a globally consistent and world class level of service.

Primary Responsibilities

  • Manage the conference hotel accommodation strategy for Gartner’s Destination Conferences. This includes 15+ North American events that range from 2,000 to 15,000 attendees, in addition to 4-5 select global conferences hosted in Europe, Australia and India that range from 2,000 to 10,000 attendees.
  • Analyze attendee projections and partner with our venue sourcing team to ensure that the Gartner reservation site has the appropriate number of hotel properties and sleeping rooms are contracted.
  • Partner with internal stakeholders to understand their needs and objectives to ensure we’re aligned and providing an elevated client experience.
  • Manage timelines for opening and closing Gartner’s hotel reservations sites.
  • Create housing documentation such as FAQs, booking guides, and email communications.
  • Oversee and manage multiple hotel room blocks across numerous events for public attendees, clients, sponsors, and associates in Gartner’s real-time inventory system.
  • Review hotel pick-ups across multiple hotels and events, identifying opportunities to adjust inventory to maximize availability and mitigate any financial risk of attrition.    
  • Act as the escalation point for hotel questions or issues.
  • Forecast and manage the budgets for hotel commissions, rebates, and possible attrition liability.
  • Travel to and carry out assigned “on-site” duties on designated conferences.
  • Reconcile all post-conference hotel invoices for accuracy, code/submit to finance for payment, and conduct audits.


  • Bachelor’s or Master’s degree with focus on events and/or marketing preferred, or equivalent experience 
  • 5+ years of business meeting planning experience
  • Hotel/room block inventory management
  • Rooming list management for large groups
  • Proven budget management abilities
  • Project management experience
  • Hotel contract negotiation and supplier management experience
