Title:  Planner, Conferences Project Management

About the role:

The primary focus of this role is to track and monitor conference resource allocations, approvals and travel requirements across the global portfolio of conferences. This individual partners with team leaders across multiple organizations, establish and maintain a consistent and centrally managed approval process for all conference related travel.  This self-starter should continually seek opportunities for improvement to help the organization evolve and scale effectively in a changing environment.  

What you will do:

  • Evaluate staffing levels and role types against requirements across a global portfolio and take proactive steps and minimize gaps to deliver the optimal experience at conferences using Gsheets
  • Prioritize and manage multiple tasks in a high-performance environment
  • Implement a change management process with a focus on automated solutions and tools to support adoption of the changes required by a project or initiative
  • Centralized tracking and management of all conference related travel including evaluations of in-region vs out of region support ratios
  • A global dashboard of resources allocation and utilization with the ability to drill into team, region, and portfolio to identify trends and opportunities for future projections and requirements
  • Consistently managed resource availability, allocation, and approval processes across all organizations required to deliver the optimal conference experience
  • Partner with a cross-functional leadership team to document, track, and audit conference delivery requirements to ensure we have the optimal staffing levels to deliver world-class experiences across the globe
  • Partner with key stakeholders across the business to assess needs, evaluate opportunities, and identify solutions
  • Build relationships with leaders and key points of contact across each team to understand their needs and provide the insights allowing for data-driven decision making to reduce travel and expense costs
  • Ability to travel up to 20% of the time

What you will need:

  • Fully competent in Microsoft Office and Google, especially Excel and Sheets (ex. using v-lookups, pivot tables and formulas consistently).
  • 1-3 years experience in project management, consulting, administration or travel planning
  • Conference or event experience preferred
  • Strong data and analytics skills to develop and monitor spreadsheets, dashboards, and reporting
  • Exceptional collaboration skills with proven ability to build partnerships across lines of businesses
  • Bachelor’s degree required
