Manager, Attendee Forecast Modeling


Responsible for preparing us for our future and the rapid growth of our Destination Conferences by providing attendee forecast modeling for onsite logistics planning. This includes forecast modeling and tracking across all conference attendee types, ensuring cancellation and no-show rates are considered, and tracking against maximum capacity as well as establishing and driving an attendee sell-out process.

The successful candidate will take ownership of the end-to-end processes for all attendee projections and will align with key stakeholders to successfully manage and track registrations as well as ensure data accuracy across all platforms. This person will drive the conference sell-out process, understanding what is required and where necessary help to build & recommend effective solutions and plans to allow for continued conference growth.

Primary Responsibilities:

  • Support Conference Logistics by providing attendee projections across all attendee types, including paid and complementary, for onsite logistics planning.

  • Project manage against Logistics timelines to ensure projections are provided in line with key planning milestones tied to larger financial commitments, ensuring we are driving decisions to maximize conference contribution.

  • Establish and drive an attendee sell out process, tracking registrations against venue max capacities, identifying all stakeholders, timeline, and requirements to successfully stop selling registrations, allowing for maximum conference growth whilst not compromising the attendee experience.

  • Create report for the Gartner Operating Committee with projected attendee volume for global IT Symposium/Xpo series.

  • Perform in-depth data analysis to understand attendee behaviors and registration curves across all attendee types, ticket types and channels. Leverage findings to forecast attendance.

  • Ensure data consistency across registration platforms, troubleshoot discrepancies and partner with Registration, Business Analytics, and IT to resolve.

  • Create and maintain automated attendee projection models and tools, with the flexibility to adapt easily as attendee types change, and scale as the business grows.

  • Take ownership of and maintain the attendee dashboard in PowerBI, looking for continuous improvement as well as accuracy and consistency across platforms and tracking systems.

  • Stay abreast of attendee type additions and modifications, partnering with Registration and ensuring necessary changes are executed within all tools and projection models.

  • Incorporate exhibitor demand and expected booth volume into attendee forecast modeling, partnering with Future Planning and Exhibitor Operations.

  • Analyze exhibitor pass allotment and pickup rates to establish any existing trends for projection modeling. Track pickup pre-event, establishing a process to ensure pass pickup rates are not exceeding allotment, flagging irregularities and/or high pickup with Exhibitor Operations.

  • Partner with Financial Planning to determine the utilization of attendee projections within the monthly financial forecast process and support as required.

What we’re looking for:

  • Experience: 4+ years of progressive business experience, preferably in a strategy, consulting, or business operations role.

  • Qualifications: Being extremely process driven with strong project management skills are essential. Events knowledge is a plus – e.g., understanding of floor plans, logistical challenges, etc.

  • Exceptional problem-solving capability: You have a proven track record of solving complex problems, thinking creatively, and using data to tell a story and drive change

  • Technical skills: You are highly proficient in Microsoft Excel and can create and interpret complex Excel reports to track past, present, and future conference attendee data. Technical knowledge of Power BI is preferred

  • Detail oriented: You have a critical eye for details and can effectively analyze and summarize data

  • Fast-paced: You operate with a sense of “urgency” and can excel in an execution-focused environment

  • Drive / Self-sufficiency: You have a demonstrated ability to own a problem and aggressively drive from problem statement to solution in a self-sufficient capacity, even in a matrixed environment

  • Communication skills: You are an excellent and structured verbal and written communicator with effective presentation and platform skills

  • Executive presence: You can effectively summarize and present attendee projection findings to your manager and other senior Gartner associates

  • Strong core values: You demonstrate integrity, collaboration, a no-limits mindset, objectivity, and consistent results using global best practices

  • Education: Bachelor's degree required
