Conference Keynote Producer

Gartner is seeking a Producer to work on Gartner’s global external client facing conferences.  As the Producer, you will lead in delivering the planning, pre-production, and on-the-ground execution, virtual execution, of multiple conferences in our regions of North America, EMEA, and APAC within Gartner’s Production Experience Team. 

A successful candidate will thrive in a quick moving environment with keen attention-to-detail.  In this role, the Producer will provide customer-centric production services and overall support at the highest level possible for our clients, presenters and internal key stakeholders. Strong understanding of keynote content creation, AV, media management, and virtual & live conference planning is essential.  The ideal candidate must have strong organizational skills, ability to work cross functionally, multiple business units and diverse cultures, impeccable powerful but respectful communication skills, and be energetically driven to meet the needs of our clients and team.  This exciting career opportunity will provide you with challenging assignments, some travel, collaborate with a team of 4, and report up to the Director of Conferences.  

Primary Responsibilities:

  • Support / Drive the global conference portfolio and production of our top tier keynotes, summits, and forums. Live/In person & Virtual.

  • Manage all working & moving parts of the process such as video/ media assets, presentation graphics, scheduling, oversee scripting and input into keynote content, & executive coaching.

  • Collaborate with key stakeholders, from multiple business units, to support client facing keynotes from inception through to delivery.

  • Leverage best practices to support live conference production planning processes and budget management

  • Attend/lead pre-production and onsite global meetings, which may be out of hours at times

  • Effectively engage at every level of the organization and across multiple departments

  • Participate in meetings with team and key stakeholders noting minutes and tracking action items

  • Strong written and verbal communication skills to external and internal audiences

  • Guide key stakeholders through the process and become their trusted partner

  • Communicate with stakeholders globally and confirm all requirements for all onsite delivery assets including staging, scenic, graphics, audio, animation and all creative media components

  • Prepare internal and external written briefing documents, schedules, PPT decks keynote strategy for clients, vendors, and team implementation

  • Create and manage production schedule and key milestones, while knowing how and when to flag and at-risk milestones

  • Understand and uphold Gartner’s brand with all assets created, which includes managing creative partners and vendors accordingly

  • Meticulously track the budget and expenses

  • Prepare and manage rehearsal requests and rehearsal schedules while thoroughly understand the requirements of each venue and team

  • Participate in and eventually lead offsite and onsite rehearsals with key stakeholders, which requires the ability to seamlessly partner and lead highly valuable relationship, such as C-Level management

  • Oversee crew schedule and running order documents through pre-production and onsite

  • Thoroughly debrief and document completed keynote conferences while focusing on best practices for continuous growth and improvement

  • To be successful in this role, at times with contingency of current global environment, extensive domestic and international travel will be required.

Experience Requirements:

  • Bachelor’s degree or equivalent

  • Minimum 5 years of experience in related field and industry

  • C-Level/senior leader experience required – executive engagement, communication, project management, media experience, scheduling, etc.

  • Project and budget management experience required

  • Highly skilled in collaborating with global stakeholders

  • Beginning to end understanding of live conference production and creative content creation

  • Agency experience desirable

  • Global experience preferred – US & Canada, LATAM, EMEA, APAC, Japan, and China

  • Excellent interpersonal skills - team player who works well with others, together reaching challenging goals under very tight deadlines

  • Client focused - superior customer service skills
