Primary Responsibilities:

  • Understand, action and deliver logistically on Gartner’s Member Experience needs, driving member and prospect attendance and retention across all conferences
  • Be able to clearly understand and translate the needs of the audience to create unrivalled ‘white glove’ onsite experiences and programs.
  • Responsible for room setup management & capacity planning
  • Coordination of Food & Beverage, AV and branding deliverables
  • Management of hotel room block – perform regular audits and track pick up based on projected attendance
  • Coordination of client networking receptions and gala dinners – deliver creative ideas that are going to ‘wow’ our clients and make a memorable experience
  • Understand and deliver against conference production and product team objectives
  • Build collaborative partnerships with cross-functional team
  • Partner with a global Member Experience Team on continuous improvements to our deliverables
  • Constantly evaluate the experience, feedback and results and implement changes accordingly.
  • Achieve budget goals while creating optimal conference member experiences, through effective negotiations and close monitoring of expenses
  • Coordinate external speaker logistics
  • Be a key member of the global conference operations team – communicate with and build effective relationships with peers in all regions, take and share best practices and continuously raise the level of our conferences
  • Manage equipment inventory, storage and shipment of materials to and from events
  • Travel required

  • Flawless operational management and execution of member driven conferences and experiences 
  • Achieves or exceed financial targets
  • Exceptional communication and collaboration across conference team, conference partners and key stakeholders
  • Build and maintain relationships with internal stakeholders to effectively translate and understand the needs of the member experience across a range of Gartner product
  • Successful translation and execution of business conference strategy to support client retention

  • Degree with focus on events and/or marketing preferred/Tertiary education

Experience requirements:

  • 4+ years of conference management experience 
  • End-to-end Conference/VIP Experience management
  • Experience of working in a complex multi layered corporate environment with multiple stakeholders
  • Financial Management
