Role Purpose:

Project, track and report accurate data across a multi-faceted and complex series of events. Conduct data analysis to guide future planning and budget decisions. Data will be used to predict future attendee numbers (approximately 3-5 years out), budget for future events (approximately 2 years out) and plan for upcoming events (approximately 1 year out). Create and own processes for data management and distribution to internal and external partners.

Primary Responsibilities

Data Management:

  • Collaborate with internal partners in HR and Finance to project future year attendee qualification at a global series of events using complex data analysis and trending
  • Partner with stakeholders in Finance to collect accurate data on qualifiers
  • Partner with the Corporate Events & Incentives team to create and implement necessary report sets
  • Manage a reporting schedule of multi-faceted data to be distributed amongst internal and external team members and executives
  • Work with external registration partners to define requirements for projects and participate in testing to ensure desired results Recommend technology and process enhancements where needed
  • Conduct post-event debriefs with internal and external partners to capture feedback and follow up to ensure practices are adjusted accordingly where necessary
  • Keep accurate records of complex and changing data sets
  • Support the financial forecast process with accurate attendee data
  • Analyze and report on various budget expenditure categories such as T&E, Production, Air Travel, and more

Event Logistics & Attendee Experience:

  • Use data to coordinate attendee experience logistics including (but not limited to):
  • Complex Gala Dinner seating arrangements for groups up to 1,200 people
  • Attendee experience logistics such as gift ordering and other fulfilment items for segmented audiences

Registration & Travel Management:

  • Analyze complex flight pattern data to determine best flight routes for attendees which keep within the budget parameters
  • Support the forecasting of expenses related to flights for global series of Incentive events
  • Partner with global registration team and vendors on day to day operations as well as future initiatives
  • Support the Incentive events registration technology and experience
  • Support the set-up of registration for select Corporate Events & Incentives
  • Manage the on-site requirements and be main point of contact for registration for select Corporate Events & Incentives
  • Travel to Corporate Events and Incentive events and provide on-site support as needed

Education:

  • Bachelors Degree

Professional Experience:

  • 5-7 years of business meeting planning experience
  • Experience driving strategy and technology preferred
  • Complicated data management
  • Data analysis
