The Project Manager (PM) oversees the creative team’s workload, including planning, managing, and executing multiple complex projects, priorities, and deadlines for internal partners, amongst other related duties.The PM manages project intake, oversees and directs multiple projects at a time (within a given design team and at times across multiple design teams), loops in relevant creative team members (e.g., editorial, brand), and sets priorities to ensure materials are produced and delivered on time. In addition, the PM often works with various internal research and marketing staff to ensure the design team understands the project and secures the necessary resources for its completion; the PM also confirms that the design team communicates the project schedule and that deliverables not only address the project requirements, but also reflect the highest quality standards and the Gartner brand.


Project Management

Act as the main point person throughout the creative process for internal clients and peers.

Review and determine if all information has been obtained to complete a project. If information is missing, seek out the missing information from the appropriate partners.

Develop and evolve processes and tools to effectively and efficiently serve internal customers to meet their product requirements at agreed-to service levels.

Maintain deep knowledge and understanding of all steps required in the creative development and production process for print deliverables.

Coordinate client approval and signoff, checking and approving creative/production materials, layouts, and art when possible.

Manage multiple projects simultaneously while weighing the importance of specific jobs and prioritizing accordingly.

Work independently to develop, monitor, manage, and revise project scope documents, time lines, and processes, keeping team aware of changes and concerns.

Client Service and Communication

Maintain customer satisfaction through effective project management and strong commitment to service.

Communicate professionally during stressful situations, resolving problems effectively and positively.

Passionately serve internal customers, developing and maintaining strong client relationships.

Resolve complex production and project issues with a collaborative, solution-oriented approach.

Define and agree on deliverables and milestones with stakeholders and communicate to senior management; continuously prioritize projects and manage scope creep and revision cycle.

Facilitate communication globally with internal research teams and design peers to meet daily deliverables.

Risk Management

Foresee issues on projects before they occur and raise risks to appropriate parties.

Mitigate risk on projects by creating contingency plans and recommending solutions, proactively engaging in problem solving.

Other Responsibilities

Enforce consistency of brand standards and work internally with cross-functional teams to stay up to date with changes.

Work collaboratively with team members to meet client needs and business objectives.

Create weekly project plans for client (e.g., forecasting) and make project-specific decisions on chargeback rate—based on budgeted work and priority. Charge variance to programs that do not budget correctly from week to week.

Provide floating support for teammates on various projects as needed.

Participate in program and department meetings.

Provide timely project tracking and department reporting information through daily administrative tasks.

Related duties as assigned.

Desired Skills and Experience

3+ years project management experience working with a creative team

Background in Graphic Design preferred

Flexible, adaptable, and team oriented

Excellent verbal and written communication skills

Exceptional organizational and time management skills

Must be able to simultaneously focus on big picture, details, and driving results

Ability to manage multiple tasks and work in a fast-paced environment with often-changing requirements

Experience with Adobe Creative Suite (Acrobat, InDesign) and MS Suite
